JOB QUALIFICATIONS:

Education: High school diploma, GED, associate’s degree, and/or related experience preferred. Secondary training and secretarial experience are preferred.

 

Certification or Licensure: None Required

 

Skills: knowledge of all of the seven core competencies of the Supporting Services Professional Growth System (SSPGS) including commitment to students, knowledge of the job, professionalism, interpersonal, communication, organization, and problem-solving. High level of organizational proficiency and ability to multitask successfully. Ability to function independently, adapt to change, and make sound judgment calls. Demonstrate a courteous, cooperative attitude and consistently provide service-oriented support to co-workers, district and school personnel, and the general public. Ability to operate various office machines (computer, telephone, facsimile, copier, etc.). Working knowledge of bookkeeping, math, and modern office practices, procedures, and equipment. Proficient in Word, Excel, PowerPoint, Outlook, and Adobe. The ability to efficiently use the RCSS ERP and Procurement systems to process and manage payroll, Employees’ activities, departmental budget activities, procurements, and reporting. Maintain a high degree of confidentiality on sensitive issues. Ability to keep complex records, assemble and organize data, and prepare reports from such data. Demonstrates proficient technical skills and a proactive, problem-solving attitude to effectively address the basic technology needs of the Richmond County user community.

 

Work Experience: At least two years of office or clerical experience in managing payroll processes, managing departmental budgetary transactions, supporting office operations, proficiency in the use of RCSS office software, Business Plus, and ESM procurement systems, and demonstrated experience assisting with other IT-related technology processes is preferred. Experience in a school setting preferred.

 

PRIMARY DUTY:

This position is responsible for providing support in a variety of areas such as managing the departmental payroll and budget transactions, managing the Information Technology Department's day-to-day administrative tasks, assisting users with basic technology issues, and performing basic IT tasks.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Work closely with the finance department to ensure accurate and timely processing of IT-related financial transactions and adherence to corporate financial policies.

2. Manage the Information Technology payroll process, ensuring accuracy, timely processing, managing payroll-related queries, and resolving discrepancies.

3. Prepare payroll reports and maintain payroll records for the department.

4. Review and ensure departmental purchase orders, invoices, and expense requests align with the budget.

5. Monitor and track ongoing IT expenditures to ensure alignment with the approved budget and identify areas of overspending or underspending.

6. Document adjustments to the budget throughout the fiscal year based on changes in unexpected expenses or shifting priorities.

7. Prepare regular financial reports that summarize IT expenditures, budget variances, and forecasted spending trends.

8. Maintain vendor contracts and related documents, secure appropriate signatures, and track documents through the approval process.

9. Handles incoming calls, greets visitors, and addresses inquiries by providing information, assistance, and guidance to individuals seeking IT support.

10. Ensures, in the absence of the CTO, that requests for action and information are handled or referred to in a timely manner.

11. Make or assist the Information Technology team with conference and travel arrangements.

12. Maintain electronic and physical files, ensuring confidentiality and proper documentation of sensitive information.

13. Assist in organizing department meetings and preparing agendas.

14. Provide technical support by managing and overseeing activities related to employee onboarding and offboarding processes within Information Technology Systems,

15. Provide technical support by managing and overseeing activities related to the RCSS Mobile Phone Process. 16. Provide Technical support by troubleshooting basic hardware and software issues and assisting with password and connectivity problems.

17. Coordinating and following up with the Information Technology team to ensure complex requests or problems are referred to or handled in a timely.

18. The employee shall carry out such other and further duties, whether specifically listed above or not, as are assigned, or required by such employee’s supervisor, other appropriate school personnel, law board policy administrative regulation, department handbook, as are reasonably necessary to the efficient operation of the school system and its mission.
