JOB QUALIFICATIONS:

 

Education: High school diploma, associate’s degree, and/or related experience preferred.

Certification or Licensure: None

Skills: Knowledge of various data collection methods. Knowledge of student scheduling, grade reporting, attendance, and discipline processes. Working knowledge of student information systems. Ability to communicate effectively and courteously with the public, students, parents, and school staff. Demonstrated skills in oral and written communication. Demonstrated skills in organization and problem-solving. Ability to work independently. Ability to work across functional boundaries and interact with employees at all levels of the organization. Ability to demonstrate technology skills and familiarity with Microsoft Office applications.

Work Experience: Three years of office/clerical experience required. Experience utilizing data collection programs in a school setting is preferred.

 

PRIMARY DUTY:

This position is responsible for performing specialized clerical and technical tasks related to data collection in the school district’s student information database and assisting with all state reporting requirements such as FTE and student records.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Enroll, withdraw, and transfer student data using the school district’s student information system.
  2. Record student information, including demographics, schedules, and discipline into the student information system.
  3. Export delimited student and/or teacher data files for use in other software applications.
  4. Complete mail merge files and print student mailing labels as assigned.
  5. Prepare and print student reports, schedules, and report cards.
  6. Ensure student data is accurate for all reporting purposes for both local and state reporting.
  7. Instruct and train teachers on the use of the Teacher Portal for entering grades and attendance.
  8. Create folders, copy, and rename files to internal and external storage devices.
  9. Send correspondence to parents when necessary relating to student data such as attendance, discipline, and other related areas.
  10. Maintain record-keeping and clerical functions.
  11. Process information requests accurately and quickly as assigned.
  12. Operate and maintain routine office equipment.
  13. Communicate with all parties in a businesslike, courteous, and efficient manner.
  14. Participate in professional development activities related to student information systems to maintain and improve knowledge, abilities, and skills.
  15. The employee shall carry out such other and further duties, whether specifically listed above or not, as are assigned or required by such employee’s supervisor, other appropriate school personnel, law board policy administrative regulation, the department handbook, as are reasonably necessary to the efficient operation of the school system and its mission.
